Human Resources Secretary - Division Office
Reporting to the Human Resources Coordinator, the Secretary for the Human Resources Department will be responsible for providing a consistently high standard of secretarial and administrative support to the Human Resources staff. The Human Resources Secretary is the focal point of communication for the human resources team, with efficiency being the key goal at all times.
Duties/Responsibilities
- Answer telephone and electronic enquiries and relay telephone calls and messages
- Coordinate the flow of information within the HR department; prepare, input, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material; draft routine memoranda/correspondence; prepare reports, and other documents, and liaising with schools.
- Schedule and confirm appointments and meetings, meeting set up providing necessary materials as assigned; book travel arrangements making reservations and registering conference attendees; record and prepare minutes of meetings.
- Perform research for the department; assist with special projects, prepare various workshop materials, provide secretarial support to the following people: Associate Superintendent Human Resources and Administration, HR Coordinator, Directors, OH&S Advisor.
- Perform other related duties as required.
Qualifications:
- A sound knowledge of and experience with the latest software programs and business practices enabling one to process and manage information efficiently – Office Suite, Google Platform.
- Ability to perform many complex office functions.
- Excellent interpersonal and organizational skills.
- Ability to multi-task with an attention to detail.
- Strong trouble shooting/problem solving skills.
- Excellent written and verbal communication.
- Training in a related administrative assistant program of studies at a recognized post-secondary institution would be an asset.
Hours & Compensation
- Term of employment: August 20, 2026 to July 16, 2027 with the possibility of extension.
- Hours of work: Monday to Thursday 8:30 a.m. – 4:30 p.m.
- Salary commensurate with training and experience (Pay Level 2: $46,638 to 60,608)
