Black Gold School Division has approximately 13,500 students from Early Childhood Services (ECS) to Grade 12 in the 32 schools within the communities of Beaumont, Calmar, Devon, Leduc, Leduc County, New Sarepta, Thorsby and Warburg. Approximately 768 teachers deliver instruction with assistance from 603 support staff.

We are seeking an experienced professional to provide effective and high-quality administrative support to the Associate Superintendent – Learning Services.

Responsibilities:

  • Provide support to the Associate Superintendent – Learning Services in the areas of curriculum, student achievement, and school/community/ABED relations
  • Provide periodic assistance to the Director of Strategic Programs & Leadership, and Directors of Curriculum & Instruction
  • Serve as the first contact for the Associate Superintendent’s office managing phone calls, processing all correspondence, and overseeing the Associate Superintendent’s calendar
  • Prepare and/or create correspondence, including letters and reports
  • Prepare, review and submit both the Education Plan and Annual Education Results Reports
  • Distribute applications, monitor funds, and submit reimbursement requests for the Enhanced Professional Development Program
  • Assist Associate Superintendent with the submission and acquisition of Locally Developed Courses
  • Assist schools with Student Excursions process
  • Maintain electronic and paper filing systems to ensure efficient storage and retrieval of information
  • Distribute relevant information to various stakeholders – parents, staff, government officials
  • Compile and collate research/information and prepare presentations for the Associate Superintendent’s office
  • Review Administrative Procedures – proofread, research and submit for approval process
  • Track and create reports for the Associate Superintendent and the three Directors (i.e. mileage, purchasing cards, timesheets, expenses)
  • Other related duties as assigned by the Associate Superintendent

Qualifications:

  • Post-secondary education in business administration or similar discipline preferred
  • Five years or more experience in an administrative role
  • Proven ability to build positive working relationships with educational partners, including parents, teachers and school administrators
  • Experience in an educational setting is preferred (familiarity with Rycor, Atrieve, etc.)
  • Excellent communication, problem-solving, and interpersonal skills
  • Ability to work independently in a fast-paced and challenging environment where initiative and multi-tasking are essential as well as in a team environment of cooperation, collaboration, respect and integrity
  • Ability to identify and understand the sensitive and confidential nature of all types of materials and handle with appropriate discretion and professionalism
  • Ability to analyze and provide recommendations as appropriate
  • Experience preparing and editing various types of correspondence, reports and presentations
  • Proficiency in Windows and Google environments with high functioning editing skills in Microsoft Word and data analysis skills in Microsoft Excel (i.e. knowledge of tools, formulas, formatting)
  • Ability to process detailed information effectively, consistently and meticulously
  • Excellent analytical, time management and organizational skills
  • Willingness to continually build on technical knowledge is essential
  • Ability to be flexible with schedule to address peak work requirements

Salary & Benefits:

  • Position commences: beginning of June 2026
  • Hours of work: Monday to Friday 8:00 am - 4:00 pm
  • Salary commensurate with training and experience
