Transportation Assistant/Planner - Division Office

Black Gold School Division seeks a professional to play a role in ensuring the effectiveness, safety and functionality of the Division’s student transportation system. This position reports to the Transportation Manager and assists with the coordination of safe transportation of 5000 students on 92 contracted bus routes. The Transportation Assistant/Planner will provide assistance in the following areas:

• Assist parents and schools with inquires regarding busing via phone and email
• Uphold all policies & procedures for transportation and be able to relay the information to parents and schools
• Maintain data in an electronic routing system to ensure it is accurate and up-to-date including student coding for grant purposes
• Assist and plan route changes and new routes when required
• Maintain school boundary changes in Bus Planner
• Utilize and maintain all systems including Bus Planner, Zonar GPS & student scanning, Rycor and Bus Status App, PowerSchool
• Maintain driver records including first aid and driver's licenses
• Update drivers handbook as well as posting it on-line
• Manage the shared Transportation email account
• Create Rycor registration forms for parents to complete and submit via the parent portal annually
• Create and distribute bus passes using Asure ID and Rycor systems
• Assign fees and payments for parents in the Rycor system
• Manage student management forms for drivers
• Prepare month-end contractor payments and information packages
• Prepare summer packages for the upcoming school year using Microsoft Forms
• Prepare parent-provided contracts and send out using DocuSign
• Use the school information to track monthly attendance and process payments for Parent Agreements
• Creating and publishing quarterly newsletter for contractors, drivers and parents
• Provide relief for main switchboard as required
• Perform other related duties as required

Qualifications:

• Must be willing to obtain or hold a valid Alberta Class 2S operator’s license
• Excellent working knowledge of Excel, Word and Google
• Ability to speak with the public and staff in a helpful, courteous, and professional manner
• Ability to maintain a high degree of confidentiality
• Ability to handle emergencies, meet deadlines and work well under pressure
• Strong organizational, analytical and communication skills, with a high level of attention to detail
• Ability to work well in a team environment

Hours & Compensation

• Start date: to be determined upon hiring
• This is a 12 month full-time, permanent position
• Salary commensurate with training and experience (Pay Level 4: $57,908 to $75,428)
